Six major tasks need to be taken care of the day of the festival. 1) Initial Set Up, 2) Front Entrance, 3) Guest Club Aid, 4) In-event clean up, 5) Merchandise stand, 6) Post Event Clean Up. Each of these duties will be overseen by a Beerfest Czar.
The Czar position is voluntary. The Czar's duty is to make sure people are showing up for what they signed up for, and those jobs are getting done. Czar's are encouraged to recruit people to fill the positions under them. If you are looking to make an impression for the November elections this is an opportunity to shine.
Initial set up will start at 9 am. The initial plan is to set up all of the tents. We have seven homebrew clubs coming from across the state. The Beer Nuts alone will have two bars, two tap boxes, an area to pour bottles, and a merchandise stand. We are going to need a lot of tents. Extra tents will provide shade and shelter, if needed. We will have pizza delivered for us around noon.
Front Entrance will start at 12:30. We are going to start scanning tickets, checking IDs, and giving out wrist bands at 12:30. Once people have a wrist band they will be sent to a separate line. When we open the gates at 1:00 the line with wrist bands will be allowed to walk in and grab a glass from a box as they enter the festival. We will be selling paper tickets at the door. Eventbrite is set up to start charging $25 per ticket at 1:00. We will have a cash box, and a square reader. Dan White can set you up with the club login for the Square.
Guest Club Aid will start as soon as other clubs start showing up. Get them to their tent, carry stuff from their vehicles, get them ice, and tell them we have pizza coming for them. Throughout the day check back with them every 30 minutes or so to see if their is anything they need. You will need to make sure that the guest clubs get their drink tickets for the after party.
In-Event Clean Up Keep things looking nice. You see garbage on the ground, pick it up. Somebody breaks a glass, get a broom and sweep it up. Trash can if full, empty it and get a new bag.
Merchandise Stand Sell the rest of the Drinker t-shirts, and schwings. Sell all of them.
Post Event Clean Up Clean everything up. If you want free drinks at Brick's afterwards you will stay and clean up. The $1000 bar tab after last year's event has brought some changes in how the post event party is going to run. Matt Franklin will be handing out free drink tickets at the end of the event clean up. If you aren't there to clean up, you don't get any tickets, if you don't get any tickets, you don't get free drinks at Brick's.

If we wanted to do this many, there are about a dozen flavors in the box that would lend themselves to beer addition. Mostly fruit, but some other interesting ones like cappuccino, tiramisu, Irish coffee that would mix into darker beers.mjensen52402 wrote:Tony, how many usable flavorings do we have? I've made a couple of test batches of syrup in different concentrations of the raspberry and tried them out yesterday with a Boulevard Wheat beer. I was surprised that in a 2 oz pour, it took more syrup than I was anticipating to get noticeable flavor. But, had to be careful that too much made the beer overly sweet. Will try another flavor just to see if the proportions are similar. I will also experiment with a different approach to lessen the sugar content, as the infusions themselves have sugar in them.
If someone would like to come over and be a guinea pig taste tester, give me a shout and we'll work out a schedule for next week.

Tony is working on the flavorings puzzle. I just took squeeze bottles to him. He has made some interesting discoveries, and is getting them dialed in.
I've talked it over with him, and he has good ideas about how we implement the dispensing of the flavors. He would like to set up a table/tent near the soda fountain. People will be able to get beers, or sodas, and visit the table to have added whatever flavors they would like to their beers/sodas.
I am adding slots on SignUpGenius to add workers for this area.

To add on to Mark's post - Karl, if you would kindly make a keg of just slightly sweetened carbonated water, folks could get a glass of that and come over to the "dosing table" and add whatever flavor they'd like to make their soda. A nice, simple way to offer a lot of variety without having a lot of kegs of soda to deal with (and leftovers).

I was just going over my inventory of kegs an I don't have enough available to do all the sodas I've planned. Could I borrow a couple of empty kegs from someone?
And, another all-call for people to volunteer sodas. So far we have six: grape, creme, agave-lime, sweet club soda, birch root beer, and something from tony. We could use at least four more.

Karl, I can get you a keg for the "club soda." I'm going to be hard to get with this weekend and into early next week. So, let me know if I can get you the keg between now and Saturday early afternoon.

Indeed. Besides fruit flavors, I think a savory one might work, too. I haven't finalized the entire list yet, but I'm looking at around a dozen flavors to dose the beers and club soda with. I've sampled about 6 flavors so far with various combinations of beers - Pale Ale, IPA, Stout, Porter and Wheat. The surprise was the fruit flavors (Pineapple and Mango) with the IPA and Pale Ale - instead of being fruity, they amplified the hop character of the beers.carrisr wrote:I'm bringing a wit, so that would be a good beer to try flavors in.
